1. Introduction

Welcome to Vaime ("we," "our," or "us"). We respect your privacy and are committed to protecting your personal data. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our AI agent platform and related services.

By using the Service, you consent to the data practices described in this Policy. If you do not agree with any part of this Policy, you must discontinue use of the Service.

2. Information We Collect

Personal Data: Name, email address, and billing information provided during registration and account management.

Usage Data: IP addresses, browser types, device information, and interaction logs with our dashboard collected automatically when you use the Service.

AI Agent Data: Prompts, instructions, and data feeds you provide to your AI agents. You are responsible for ensuring you have the right to process any third-party data fed into Vaime agents.

3. Payment Processing

We do not store your full credit card numbers, CVV codes, or sensitive banking credentials. All payment transactions are processed securely by Flitt, a payment platform operated by TBC Bank. By using our services, you consent to the transmission of your billing data to Flitt and TBC Bank for the sole purpose of processing subscriptions and credit purchases.

Flitt and TBC Bank process your payment data in accordance with their own privacy policies and applicable financial regulations. We only receive transaction confirmations and the minimum information necessary to manage your account.

4. AI Data Usage & Training

Vaime utilizes AI models to power your agents. By default, we do not use your private agent prompts, proprietary data, or workflow configurations to train our foundational public models unless you explicitly opt in to a data sharing program.

Your agent execution logs are retained for 90 days solely for debugging and billing verification. After this period, logs are permanently deleted unless retention is required by law.

5. How We Use Your Information

We use the information we collect to provide, maintain, and improve the Service, process transactions, send you transactional communications, and respond to your inquiries.

We may use your information to detect, prevent, and address fraud and other illegal activities, enforce our Terms of Service, and comply with applicable legal obligations.

6. Information Sharing

We do not sell, trade, or rent your personal information to third parties. We may share your information with service providers who assist us in operating the Service, subject to confidentiality obligations.

We may also disclose your information when required by law, regulation, or legal process, or when we believe in good faith that disclosure is necessary to protect our rights, your safety, or the safety of others.

7. Email Collection & Marketing Communications

When you submit your email address via our waitlist, contact, or newsletter forms, we collect it for the following specific purposes: providing access to the Vaime platform, sending critical transactional updates such as billing alerts and security warnings, and sending marketing communications about product updates and features — only if you have explicitly consented.

In accordance with the General Data Protection Regulation (GDPR) and the ePrivacy Directive, we utilize an active opt-in mechanism for marketing consent. Pre-ticked boxes are never used. By checking the consent box or submitting the form with the explicit intent to receive updates, you provide your affirmative consent. We use trusted email service providers to deliver our communications. These providers are contractually bound to process your data securely and only on our behalf.

8. Data Security

We implement commercially reasonable security measures to protect your personal information, including encryption in transit and at rest for sensitive data. However, no method of transmission over the Internet or electronic storage is 100% secure.

While we strive to use commercially acceptable means to protect your information, we cannot guarantee its absolute security. You are responsible for maintaining the confidentiality of your account credentials.

9. Your Privacy Rights (GDPR & CCPA)

Depending on your jurisdiction, you have the right to: access the personal data we hold about you; request correction of inaccurate data; request the deletion of your account and associated data (subject to legal retention requirements for financial records); object to or restrict the processing of your data; and opt out of marketing communications at any time.

Residents of the European Economic Area have additional rights under the GDPR, including the right to data portability. Residents of California have rights under the CCPA, including the right to know what personal information is collected and the right to request its deletion. 10. Cookies

We use cookies and similar tracking technologies to enhance your experience on the Service. Essential cookies are required for the Service to function properly. Analytics cookies help us understand how you use the Service and improve it.
